With Regards to Food there are 2 choices,
One is to do Catering, and the other one is to prepare ourselves.
If we are to do Catering, looking at the fact that there are only 4 active organisers, we can focus more on other things like planning of games and coordination work and at the same time a certain level of quality of the food can be provided. But of course the cost involved would be reasonably higher for the same quantity of food we can provide. We can make it Halal but I have checked and it seems like Halal Caterers charged a higher price compared to non-halal ones. And of course naturally, we have to cut down on the prizes and other stuff to sacrifice for the increase in cost.
If we are to prepare the food ourselves, we most probably can save about 25% on the cost of food but the organisers will be rather occupied on the first and 2nd day to be bothered with anything else. And of course since we are preparing the food it would be impossible for the food to be Halal. I'm not sure if our standard is comparable to those catered ones, this you guy can only know after the chalet. On top of this, is another operational concern and that is the problem of cooked food. You guys will most probably want some fried beehoon and curry. This is where it is going to be a headache preparing all this at the chalet. To cooked such food efficiently, I will need to bring/buy oil, soy sauce, curry powder, coconut milk, blah blah blah... and thus would be making a big hassle out of a few things.
This is a budgeting question,
If all the TBC goes, we currently have a budget of $700 to work with, the chalet itself will cost about $200 excluding the charges for the air-con which would be billed seperately upon checkout. To be safe I will allocate $50 to miscellanous expenses(Air-Con, utensiles, BBQ equipment, and maybe some bread and butter for supper and breakfast.)
If we are to prepare the food ourself we should be able to work with a relatively large amount of food within the range of $300 for 20 persons. But if we cater, we will need about $400 to just have enough food for all 20 person to be happy. We will be allocating whatever that is left after the purchase of food to the prizes and other logistical concerns.
So looking at this scenario, we either have to sacrifice quantity for quality, and at the same time have better prizes and stuff, or to have better food abeit at a lower quantity and have less prizes.
But then again, there is a solution to this but that would sacrifice some food to be non-halal and that would be partial catering. We will outsource the more troublesome food items out to caterers and then prepare the simpler ones ourself. This would allow for more flexibilty but would also mean that we will need to pick up the food ourselves from the caterers and of course some food being non-halal since it is prepared by ourselves. Doing this should mean that we are able to at least provide some decent prizes.

There are some fixed cost to this event, like the cost of the chalet and BBQ equipment etc, so the more people turn up, the more funds we have to work with for food and prizes. Simple mathematics.
